JOB DESCRIPTION

JOB TITLE: Front Desk Associate

 

DEPARTMENT: Visitor Services

 

DATE: March 1, 2026

 

I. FUNCTION: This part-time position is responsible for providing superior customer service at the CACVB Front Desk in a professional and cordial manner.

 

II. STATUS: Part-Time, Temporary / non-exempt

 

III. SPECIFIC REQUIREMENTS:

  1. Must be able to work up to 25 hours per week, Monday - Friday.
  2. Excellent oral communication.
  3. Excellent grammar usage and spelling ability.
  4. Excellent customer service skills.
  5. Ability to balance several skills at once.
  6. Knowledge of computer systems and the Internet.
  7. Good typing skills.
  8. Knowledge of Charleston area attractions and events.
  9. Ability to operate cash register/data processing equipment.

 

IV. SPECIFIC DUTIES:

  1. Assist all members of the CACVB when possible while keeping priority of phone calls in mind.
  2. Check in guests and vendors upon their arrival via electronic sign-in sheet in Google Drive, providing them with a Guest sticker, and notifying appropriate staff of the guest's arrival.
  3. Answer incoming calls to the CACVB in a cordial, professional manner, and refer specific calls to the proper staff member by politely asking questions.
  4. Preserve order of CACVB Front Desk area.
  5. Assist staff with reserving CACVB Meeting Rooms
  6. Update digital signage for CACVB Meeting Room Calendars.
  7. Assist with daily management of the CACVB Check Log.
  8. Maintain a record of incoming packages for staff.
  9. Assist with sorting and distributing incoming mail for CACVB staff members.
  10. Enter visitor leads into the computer as needed.
  11. Assist visitors to CACVB Executive Office seeking to receive a bulk quantity of Visitors Guides and Maps and record any items distributed via Simpleview CRM
  12. Attend monthly Visitor Services staff meetings.
  13. Assist with special projects as assigned.
  14. Be familiar with CACVB publications and websites.
  15. Promote the organization through awareness of Bureau activities.
  16. Visit area tours and attractions to remain current on visitor services and interests.
  17. Assist with Visitor Services operations as needed, including:
  1. Serve visitors to all area visitor centers in a cordial, outgoing, professional manner when needed.
  2. Assist visitors electronically via live chat at ExploreCharleston.com.
  3. Submit requests for visitor information using Simpleview CRM.
  4. Record partner referrals using Simpleview CRM.
  5. Assist with proofreading various CACVB websites for errors as assigned.
  6. Submit event suggestions each week to be considered for inclusion in the CACVB Events Calendar.
  7. Be responsible and accurate with ticket/publication sales as well as all counter duties in the Charleston Visitor Center's Visitor Planning and Marketplace areas.

 

V. TO ENSURE ORDERLY OPERATION:

  1. Provide backup to the CACVB Front Desk as assigned.
  2. Provide backup to the CACVB Charleston Visitor Center as assigned.
  3. Handle other support services as assigned.

 

VI. ESSENTIAL & NON-ESSENTIAL REQUIREMENTS (In compliance with the ADA):

Essential Functions:

  1. Access to reliable transportation
  2. Ability to rotate body in standing or sitting positions
  3. Good eyesight and hearing which may be corrected with an aid if necessary
  4. Good command of the English language, including comprehension, verbal, and written communication skills
  5. Good interpersonal skills
  6. Ability to operate office equipment and learn software programs such as Windows,
  7. database
  8. Ability to grip/grasp various tools and equipment used in the office area
  9. Ability to operate cash register/data processing equipment
  10. Ability to perform mathematical calculations accurately
  11. Must be able to attend monthly staff meetings, typically held after standard work hours

Non-essential Functions:

  1. Ability to stretch and reach in various directions while in a kneeling, standing, sitting or crouching position.
  2. Able to lift a maximum of 50 pounds.
